Grossman Heinz looking for a highly motivated, detail-oriented Associate- Executive Assistant to support all aspects of our work. This is a full-time position based in our DC office with travel to our Headquarters in Simsbury, CT as needed. The role of the Associate will be to act as a “Gate Keeper”, from prioritizing all aspects of the firm Principals’ work to providing support to client and firm projects.
Sit in on internal and external meetings (to understand the work being done, gain context for prioritizing, and engagement levels).
Support marketing and writing projects, including proposals, client reports, and research projects.
Manage Principals access to all information, including through file sharing and research.
Manage the daily and weekly “lists” for Principals including but not limited to: providing daily briefing on schedule, managing all to-do lists both short and long term (with significant input from staff), communicating with staff about the Principals’ progress on specific projects and coordinating Principals needs from staff.
Maintain calendar for Principals, including syncing personal and work schedules, preparing daily/weekly itineraries, booking all travel, and providing briefing materials as needed for client meetings, calls, and events.
Managing Principals expense report reconciliation for all billable clients including receipt maintenance.
Great Communicator. The Associate must be able to convey information to internal staff and external partners clearly and simply, in a way that means things are understood and get done. They must be able to adapt their message, choosing appropriate language based on audience and situation, via written word or in person. Strong editing, and written and verbal communication skills are a must.
Excellent Organizational Skills. The Associate will work with many moving pieces so the ability to problem solve and anticipate potential problems before they come up is a must. This person must be a critical thinker who is good at logistics and talented at spotting potential firm opportunities while remaining level headed. We are looking for a self-starter with a strong work ethic and the ability to work both independently and with a team.
Efficient and Effective Scheduling. The ideal candidate must be organized and able to prioritize internal and external requests of Principals’ time. This person must be ok saying “no” amicably to demands on Principals' time.
Committed Work Ethic. This individual must be highly detail-oriented and possess a strong work ethic. The position requires a proven ability to meet deadlines along with being flexible with working hours. Confidentiality is a must in this position.
Highly Proficient with Technology. The Associate must have a good command of Microsoft Office Suite, especially Word, PowerPoint, Excel, and Outlook. Experience with a CRM is a plus and graphic design skills are desired.
Experienced. We prefer that the Associate have at least 2 years’ work experience in an administrative role in an organization or campaign, including experience making travel arrangements. Applicants new to this role but demonstrating high aptitude will be considered.
Salary & Benefits
Salary commensurate with experience within the range of $48,000-$55,000 a year. Health, vision, and 401k benefits provided.
